In most corporate environments, routine administrative tasks, from requesting a Certificate of Employment to processing internal promotions, require routing paperwork through human resources and waiting days for manual processing. Fintech giant Maya is working to eliminate that friction by applying the same product design principles it uses for its consumer banking app directly to its internal operations.
By treating internal administrative tasks like product bottlenecks, Maya has shifted standard operational workflows into automated, self-service portals. The approach allows staff to instantly generate official documentation while giving managers direct system authority over team transfers and promotions, stripping out manual consolidation steps that previously clogged internal corporate channels.
AI Automation and Self-Service Portals
The digital banking platform’s internal operations now rely on artificial intelligence to clear repetitive workloads. For regulatory tax compliance, Maya deployed AI-assisted verification tools to audit BIR Form 2316 filings, flagging inconsistencies automatically at the point of submission. This allows the human resources team to focus solely on system-flagged exceptions rather than manually reviewing every document line by line.
The platform has also integrated AI tools into talent acquisition, using automated systems for market data analysis and candidate sourcing on platforms like LinkedIn.
Alongside technical updates, Maya restructured its talent management framework. The company moved away from traditional annual reviews in favor of a continuous feedback model and introduced a “Career Growth Navigation” system, which defines explicit expectations and advancement tracks for specialists, lateral moves, and leadership roles.
Industry Recognition and Operational Strategy
“There are things employees should be able to do without waiting for HR, and technology helps us get those out of the way,” said Charee Lanza, People Group Head at Maya. “But there are also things you cannot automate—good feedback, coaching, career conversations, and important people decisions. We want our teams spending more time on those.”
The operational shift earned Maya recognition at the 2026 HR Excellence Awards Philippines at the Grand Hyatt Manila, where it competed alongside roughly 64 participating companies. Maya secured a Silver Award for Excellence in Performance Management Evolution, a Bronze Award for Excellence in the Use of HR Tech, and reached the finals in five additional categories, including Talent Acquisition and Employee Engagement.
